Every trainer in your gym gets their own profile in the Gymatrix admin panel. The profile holds their contact details, specialization, and assigned batches and members. Adding a new trainer takes a few minutes and gives them immediate access to the trainer app.

Adding a trainer to Gymatrix takes a few steps from the admin panel. Once added, the trainer receives their app login and can immediately start managing their assigned members and batches.
A batch in Gymatrix is a scheduled training session — typically identified by time, such as a 6am morning batch or a 7pm evening batch. Admins create batches from the admin panel, assign a trainer to each, and add members. This gives your gym a clear, structured schedule that both trainers and admin can see.
Define batches based on your gym's schedule — early morning, morning, afternoon, and evening sessions. Each batch has a name, time, assigned trainer, and the list of members enrolled in it. You can create as many batches as your gym runs.
Each batch has one assigned trainer. From the admin panel, you can change the trainer assigned to a batch at any time — for example, when a trainer is on leave or when you restructure your schedule. The trainer sees their assigned batches in their app.
Members are added to a batch from the admin panel. The batch trainer then sees these members in their app. This creates clarity about which trainer is responsible for which group, and makes batch-level attendance tracking possible.
Beyond batch assignments, Gymatrix lets you assign specific members to specific trainers at the individual level. This means a trainer is clearly responsible for a defined set of members — their training, their diet plans, and their progress.
Each member in Gymatrix can be assigned to a specific trainer. This link is visible in the member's profile and in the trainer's app. The trainer can see all their assigned members in one list, regardless of which batch they belong to.
From the trainer app, trainers can see only their assigned members. They can view each member's profile, check their attendance in the trainer's batch, and access any notes or health information relevant to the member's training. Trainers cannot see members not assigned to them.
When a member needs to move to a different trainer — for example when a trainer leaves or when a member's training requirements change — the admin can reassign the member from the admin panel. Historical plans and progress records stay on the member's profile regardless of trainer changes.
Member-trainer assignment works alongside the complete gym member management system — so each member's profile reflects their trainer, their plan, and their history in one place.
Every trainer in Gymatrix gets a dedicated mobile app with their own login. The trainer app gives them everything they need to manage their members and deliver training — without needing access to the gym's admin dashboard or owner credentials.
From the trainer app, a trainer can see their complete list of assigned members, each member's profile details and health notes, their assigned batches and schedules, and member attendance in their sessions. Everything they need to know about their work is in one place.
Beyond viewing, trainers can take action directly from the app. They can create and update diet plans for members, build workout programs, record member progress, and mark attendance. Anything a trainer creates is instantly visible to the assigned member in the member app.
One of the most practical features of the Gymatrix trainer app is the ability for trainers to create structured diet plans and workout programs for their members — directly in the app. Once created, these plans are immediately visible to the member in their own Gymatrix app.
Trainers create diet plans in the app by specifying meals for each day — what to eat in the morning, pre-workout, post-workout, and evening. Plans can be structured for weight loss, muscle gain, maintenance, or a specific goal the trainer sets for that member. Members see the plan in their own app as soon as it is saved.
Trainers build workout programs for each member from the trainer app — specifying exercises, sets, reps, and rest periods for each training day. Programs can be weekly cycles or longer-term plans. Members follow the program from their app without needing a paper sheet or a WhatsApp message.
Plans created by trainers in the app are immediately visible to the member in their Gymatrix member app. Trainers can update plans at any time and members always see the most current version — no WhatsApp sharing, no manual sending.
Trainers in Gymatrix can record and monitor the progress of each member they are assigned to. This builds a history of how the member has developed over time, and gives the trainer the context needed to adjust diet and workout plans as the member progresses.
Trainers can log progress updates for members from the trainer app — recording fitness markers, weight measurements, or any other relevant metrics the trainer tracks for that member. Progress entries are timestamped, creating a timeline of improvement.
When a trainer reviews a member's progress and decides to change their diet or workout program, they can update the plan from the same app. The updated plan is immediately visible to the member. Trainers do not need to re-share anything through external channels.
The gym admin can see the progress records trainers have entered for members from the admin panel. This provides visibility into whether trainers are actively managing their members and whether members are being monitored consistently.
Progress tracking connects directly to plan creation. A trainer reviews progress, updates the workout or diet plan in the same app, and the member sees the new plan immediately — closing the loop without any separate communication.
While trainers operate independently through their own app, the gym admin has complete visibility into trainer activity from the admin dashboard. You can see which trainers are active, what they have done, and how their members are progressing — without needing to ask directly.
The admin can view an activity log showing what each trainer has done — which plans were created or updated, which attendance records were marked, and when the trainer last logged into the app. This gives an operational overview without micromanaging.
The admin dashboard shows how many members each trainer is currently assigned to, making it easy to see if workloads are well-distributed or if one trainer is handling significantly more members than others.
For each batch, the admin can see attendance records — which members attended, which did not, and whether the trainer marked the session. Attendance data is linked to the trainer's batch, so the admin knows which trainer's session it refers to.
The admin can see which trainers have created diet and workout plans for their members, and how recently those plans were updated. This makes it possible to identify members who may not have had their plans reviewed recently.
Whether your gym has two trainers running three batches, or ten trainers running morning and evening sessions across different specializations, Gymatrix handles the full structure from one admin panel.
Gymatrix does not charge per trainer. You can add all your trainers to the platform — whether your gym has two or twenty — under the same annual plan. Each gets their own login, their own app, and their own view of their assigned members and batches.
As your gym grows and you hire additional trainers, you add them to the admin panel, assign them members and batches, and they are active immediately. There is no per-seat cost or separate upgrade required.
A gym with two or three trainers benefits from clear member assignments and structured batch scheduling. Trainers know exactly who their members are, and the admin can see what each trainer is doing — replacing informal WhatsApp-based coordination.
Gyms with many trainers and multiple simultaneous batches need structured assignment and admin visibility to run smoothly. Gymatrix keeps every trainer, batch, and member linked correctly — making it possible to manage complexity without losing track of who is responsible for what.
